Schedules
Manage the schedules for your conference's competitive events.
CMS management is available to National Admins, Association Admins, and users with appropriate permissions to the CMS.
Overview
Schedules form the basis of the timing and order of events for a competitive event. You can view and edit schedules by clicking the Schedules tab in the CMS window. You can use the dropdown search bar to select your event from the list, or start typing an event (or its acronym) to search for it. You can also select the category and round you wish to view schedules for. If you don't see an option to select a round, it means there is only one round configured for this event.
Create Schedule
Schedules are created by clicking the Create Schedule button at the top. You will be presented with a form to create a new schedule.
- Select the round you wish to create a schedule for.
- Select whether this schedule is "Per Entry" or "One Block". Per Entry is designed for scheduling individual student participants to appear at a specific assigned time slot. One Block is designed for cases where you want all students in a category to appear at a specific assigned time slot. For example, you can use One Block for a designated participant briefing session where all students are required to attend, or for an in-person testing window.
- Select the date you wish to create the schedule for. You will only be able to select a date that is within your conference's configured start and end dates.
- Select the start and end times for the schedule. CTSO Central will automatically attempt to schedule the events in a way that sticks to this configured time block.
Based on the number of students, sections, timing of hold/prep/presentation, and other factors, CTSO Central may schedule students in a way that doesn't perfectly fit your configured time block, or may extend past the end time. This is normal and expected - you can manually adjust the schedule or re-generate to fit your needs after you've generated a baseline.
- Select the rooms you'd like to use for this schedule. If you've configured room mapping in the Competitive Event configuration, these rooms will override anything you've configured there.
Auto-Generating a Schedule
Once you've configured your schedule, you can auto-generate a schedule by clicking the Generate Schedule button at the top. This will automatically schedule participants according to your configured settings.
Adding a Break
You can add a break to a schedule by clicking the Add Break button at the top. This will add a break to the schedule.
- Select the break type. The break type is the type of break you wish to add. You can select from:
- Break - A break in the schedule.
- Lunch - A lunch break in the schedule.
- Other - A custom break in the schedule.
- Select the start and end times for the break.
- Select the rooms you'd like to use for this break.
Clearing a Schedule
You can clear a schedule by clicking the Clear Schedule button at the top. This will clear the scheduled times for participants, but you can keep the existing configuration to re-generate a full schedule
Deleting a Schedule
You can delete a schedule by clicking the Delete Schedule button at the top. This will delete the schedule and all associated times for participants.
