Registration
Manage conference registrations, participant rates, and approval workflows.
Registration is available to all admin roles. Chapter Admins can create and manage their own chapter's registration. Association Admins and National Admins can view all registrations and manage participant rates.
Overview
The Registration page manages which chapters are attending a conference, who they are bringing, and how much it costs. Access it by clicking the Registration card from a conference's detail page.
The page is organized into tabs that vary by your role:
- Registration Overview — a cross-chapter summary of all registrations (Association Admins and above only)
- Manage Registration / My Registration — create or edit a chapter's registration
- Participant Rates — configure the cost structure for different participant types
Registration Overview
This tab is only visible to Association Admins and National Admins.
The Registration Overview provides a bird's-eye view of all chapter registrations for the conference. It shows:
- Summary statistics: total registrations, total participants, and payment status breakdown
- A searchable, filterable list of registrations grouped by chapter
- Payment status filters to quickly find chapters with outstanding balances
Click any chapter row to expand it and see the full participant list, including names, participant types, and payment details. From here, administrators can:
- Edit participants on behalf of a chapter
- Delete a registration entirely
- Create new registrations for chapters that have not yet registered
Managing a Registration
For Chapter Admins
When you open the My Registration tab, you'll see your chapter's registration if one exists, or an option to create a new one.
Creating a registration:
- Navigate to the conference and click Registration
- On the My Registration tab, click Register (or the equivalent call-to-action)
- Select your chapter (auto-selected for Chapter Admins)
- Add participants using the participant manager:
- Choose a Participant Rate for each person (e.g., Student, Advisor, Guest)
- Search and select a Member from your chapter, or enter participant details manually
- Fill in required fields such as email and t-shirt size (when applicable)
- Click Save to save the registration as a draft, or Submit to finalize it
Editing a registration:
After creating a registration, you can add or remove participants, change participant rates, and update details until the conference's edit deadline passes.
For Association Admins and Above
The tab is labeled Manage Registration and allows you to select any chapter to view or edit their registration. You can also create registrations on behalf of chapters.
Chapters cannot modify their registration after the conference's edit deadline. Association Admins and above can continue making changes.
Participant Rates
The Participant Rates tab defines the cost structure for conference attendance. Each rate represents a category of attendee with its own pricing and rules.
Creating a Participant Rate
- Switch to the Participant Rates tab
- Click Add Rate
- Fill in the rate details:
- Sort Order — controls the display order
- Code — a short identifier (e.g., "STU", "ADV")
- Name — the display name (e.g., "Student", "Advisor")
- Rate — the standard registration fee
- Late Rate — the fee charged after the registration deadline
- Type — the participant category
- Visible to Chapter — whether chapter admins can see and select this rate
- Considered Adult — flags this rate as an adult participant for housing purposes
- Considered Judge — flags this rate as a judge
- Override Hotel Requirement — exempts these participants from mandatory hotel booking
- Require Email — whether an email address is required for participants at this rate
- Per Chapter Cap — maximum number of participants a chapter can register at this rate
- Require Per Chapter — minimum number of participants required per chapter at this rate
- Allow T-Shirt Selection — enables t-shirt size selection for participants
- Allowed to Enter Events — controls whether participants at this rate can be entered into competitive events (All, None, or Specific events)
- Must Be Registered Member — requires participants to be existing members in the system
- Click Save
Editing and Deleting Rates
Click the edit icon on any rate card to modify it, or the delete icon to remove it. Deleting a rate will affect any registrations that reference it.
Use the Visible to Chapter toggle to hide administrative rates (like complimentary or staff rates) from chapter admins while still making them available for association-level registration management.
