Conferences Overview
Learn how to create and manage conferences in CTSO Central.
Conferences are available to all users. Specific permissions are determiend by your role (Admin/Viewer/custom role) and scope.
Overview
A conference in CTSO Central represents an organized gathering where members compete in events, attend sessions, and participate in organizational activities. Conferences are typically annual events run at the regional, association (state) level, or national level, such as a Leadership Conference.
Viewing Conferences
Navigate to Conferences in the top navigation bar. You'll see a grid of conference cards, each showing:
- Conference name and status badge (Draft, Open for Registration, Registration Closed, or Completed)
- Association/Regional/National Organization name
- Start and end dates
- Location and venue
- Description
- Registration deadline
Click any conference card to open its detail page.
Creating a Conference
Conferences can be created by National Admins, Association Admins, Regional Admins, and any user with the conference:create permission within their scope.
- Navigate to Conferences in the top navigation bar
- Click Create Conference in the upper right
- Fill in the conference details:
- Conference Name — the display name for this conference
- Conference Level — the level of the conference (National, Association, or Regional)
- National Organization — which national organization hosts this conference. This is only selectable for national-level conferences. If you only have access to a single national organization, this is auto-selected for you.
- Association — which association hosts this conference. This is only selectable for association-level conferences. If you only have access to a single association, this is auto-selected for you.
- Region — which regions are permitted to register for and attend this conference (optional). This is only selectable for regional-level conferences.
- Start Date and End Date — when the conference takes place
- Location — city and state (e.g., "Sacramento, CA")
- Venue — the conference venue name
- Registration Deadline — the last day chapters can register
- Edit Deadline — the last day chapters can edit registrations, entries, and housing
- Description — a summary of the conference
- Status — Draft, Open for Registration, Registration Closed, or Completed
- Click Create Conference
Conference Detail Page
When you click into a conference, you'll see a header card with the conference name, status, dates, location, venue, and registration deadline. Below the header, navigation cards link to each area of conference management:
- Registration — view registrations, manage rates, and track payments
- Housing — configure hotels, room rates, and manage housing assignments
- Competition — manage competitive events, entries, and exam access keys
- CMS — scoring configuration, rubrics, schedules, score entry, placements, and awards
- Transcripts — configure and publish student performance transcripts
- Financial — manage invoices, record payments, and track balances
- Integrations — configure external services and third-party connections
- Settings — conference display preferences and identifier format
Chapter users see a simplified view focused on their own chapter's registration, housing, event entries, and invoices. Administration cards like Integrations and Settings are only visible to conference administrators with the appropriate permissions.
Editing and Deleting a Conference
From the conference detail page, Association Admins and National Admins can:
- Click Edit to modify any conference field (name, dates, location, status, etc.), then click Save Changes
- Click Delete to permanently remove the conference and all associated data (competitive events, schedules, registrations, entries, housing assignments, and participant rates)
Deleting a conference removes all associated records with a conference, including registrations, event entries, scores, housing assignments, financial transaction records, and more. CTSO Central does not provide a trash bin, so be sure to confirm you want to delete the conference before clicking the button.
In most cases, you won't need to delete a conference. Instead, you can simply archive it by changing the status to "Archived". Archived conferences are still visible to users and available for reporting and analysis later.
