User Management
Create and manage user accounts and role assignments.
You must be a National Admin or Association Admin to manage users.
Overview
The Users Management page lets you create user accounts, assign roles, and control access across your organization. Each user has a name, email, one or more role assignments, and an active/inactive status.
Viewing Users
- Navigate to Settings in the top-right menu and select Users under the Administration section.
- You will see summary statistics at the top: Total Users, Active Users, and Inactive Users.
- Use the toggle in the upper-right corner to switch between Table view and Card view.
- Table view displays users in a sortable table with columns for Name, Email, Scope, Status, and Created date. Click any column header to sort.
- Card view groups users by scope level (Global, National, Association, Chapter), each displayed in a color-coded section.
Filtering and Searching
- Use the Search users by name or email field to find specific users.
- Filter by Scope (All, Global, National, Association, Chapter) to narrow the list by access level.
- Filter by Status (All, Active, Inactive) to show only active or deactivated accounts.
Creating a User
- Click the Create User button in the upper-right corner.
- In the Create New User dialog, fill in:
- Name -- the user's full name (required, at least 2 characters)
- Email -- a valid email address (required)
- Password -- enter a password or click Auto-Generate to create one automatically. Three generation options are available: Secure (16 characters), Memorable, and Passphrase. A password strength indicator appears below the field.
- Confirm Password -- re-enter the password
- Under Role Assignment, select at least one role:
- Choose a role from the Select Role dropdown. You can filter by All Roles, System Only, or Custom Only.
- Select a Scope (Global, National Organization, Association, Chapter, or Own Resources Only).
- If the scope is National, Association, or Chapter, select the specific entity from the hierarchy dropdown that appears.
- Click Add Role to add the role to the user. You can assign multiple roles.
- Under Account Status, toggle the Active Status switch to enable or disable the account on creation.
- Click Create User to save.
After generating a password, use the copy icon next to the password field to copy it to your clipboard. Share it securely with the new user.
Viewing User Details
Click on any user in the list (or the eye icon) to open their detail page. The detail page includes:
- User information -- name, email, status, and creation date
- Roles tab -- view and manage assigned roles
- Direct Permissions tab -- view individually granted permissions
- Effective Permissions tab -- see the combined permissions from all roles
- Security tab -- manage security-related settings
Assigning and Changing Roles
From the user detail page:
- Select the Roles tab.
- Click Assign Role to open the role assignment dialog.
- Choose a role, scope, and optionally a specific entity and expiration date.
- Click Assign Role to confirm.
To remove a role, click the remove action next to the role in the user's role list.
You can only assign roles at your scope level or below. For example, an Association Admin cannot assign Global or National-level roles.
Editing User Details
- From the user detail page, click the Edit button.
- Update the Name or Email fields as needed.
- Click Update User to save changes.
To change roles or permissions, use the Roles and Permissions tabs on the detail page. To change the user's active status, use the status toggle on the detail page.
Deactivating a User
Deactivating a user revokes their ability to log in while preserving their data and history.
- Navigate to the user's detail page.
- Toggle the active status switch to inactive.
Deactivated users immediately lose access to CTSO Central. Their existing data and audit trail are retained.
Deleting a User
- From the user detail page, click the Delete button.
- Confirm the deletion in the dialog that appears.
Deleting a user cannot be undone. Consider deactivating instead if you need to preserve historical records.
